Custom Archive Boxes Made for Document Storage

Custom archive boxes should be designed around what will be stored, how often the box will be handled and how the contents need to be organised. A box for everyday office records has different priorities from one holding oversized plans, photographs or material requiring specialist preservation conditions.

For businesses that also need boxes for other products or storage applications, the wider custom box range provides additional made-to-size packaging formats.

Choose the Archive Box Size Around the Contents

An A4 archive box is commonly used for office documents, folders and records, but A4 paper dimensions alone do not determine the correct internal box size. Ring binders, wallets, dividers and suspension files can all extend beyond the sheet itself.

The same principle applies to an A3 archive box and larger A2 archival box or A1-format requirements. As the footprint increases, board strength, lid construction and practical handling become more important.

Before confirming archive box dimensions, check:

  • the largest document, folder or file;
  • the height of the contents when filled;
  • whether documents stand vertically or lie flat;
  • clearance needed for easy removal; and
  • whether boxes will be stacked.

Buyer tip: measure the complete group of files exactly as they will be stored. Ordering from A-series paper size alone can produce a box that is unnecessarily tight or oversized.

Archive Boxes With Lids for Easier Access

Archive boxes with lids keep records covered while allowing the box to be reopened when files are needed. A separate lid can work well for regularly accessed storage, while an integrated or roll-end construction may suit situations where keeping the lid attached is preferable.

The lid should remain easy to open while fitting securely enough for normal storage and stacking. Hand holes can also be useful on larger boxes, but their position should be considered alongside the expected filled weight.

Cardboard or Corrugated Archive Boxes?

Cardboard archive boxes can suit lighter files and routine office storage. Larger boxes, heavier loads or cartons intended for repeated stacking may need the additional structural performance of corrugated board. A heavy duty archive box should not be selected by board thickness alone. Box dimensions, filled weight, stacking height, closures and handling conditions all affect performance. For this reason, a smaller document box and a large A1 storage carton may require quite different board specifications even if both are described as archive boxes.

Archival Boxes and Conservation Storage

The term archival boxes is sometimes used generally for boxes that store records, but ordinary archive storage packaging should not automatically be treated as conservation-grade packaging.

If photographs, historic documents, artwork or valuable paper records need long-term preservation, confirm whether the board requires characteristics such as acid-free, lignin-free, buffered or other specialist conservation properties.

Those properties should be part of the agreed material specification rather than assumed from the product name. For routine business files and office records, priorities are more commonly practical fit, strength, stacking, access and identification.

Plain, Printed and Coloured Archive Boxes

Plain archive boxes are practical when identification will be added with separate labels. Printed versions can include a company name, department, record category, handling instructions or fixed information fields.

For a large filing system, clear identification is usually more useful than decorative printing. Leave enough space for dates, reference numbers, barcodes or handwritten information if the contents may change.

A black archive box, white box or other coloured format can also help distinguish departments or record groups, although colour should support rather than replace clear labelling.

Small and Large Archive Boxes

Small archive boxes can be easier to lift and organise, particularly for dense paper records. Large archive boxes reduce the number of individual cartons but can become difficult to handle once filled. The best dimensions therefore balance storage capacity with practical lifting and stacking.

This is especially important when specifying archive packaging boxes in bulk. Consistent internal dimensions, board grades, lid structures and label positions make it easier to build an organised storage system and reorder the same specification later.
